Position Summary
Louise S. McGehee School’s Executive Assistant provides high-level administrative support in a one-on-one working relationship with the Head of School, including maintaining and managing the Head’s schedule and determining access. The Executive Assistant acts as the primary point of contact for the Head of School and the Louise S. McGehee community, especially with faculty, staff, parents, and students. The Executive Assistant to the Head of School works closely with the Head of School through the management of the school’s key initiatives and serves as liaison to the Board of Trustees, supporting trustees, committee and full board meetings. 

The Assistant must be creative and enjoy working within a small, fast paced environment. The ideal individual will have the ability to exercise good judgment and confidentiality in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain balance among multiple priorities.

The Assistant will have the ability to work independently and within a team on projects and reports, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Qualifications

  • Bachelor's Degree and three years of work experience in an administrative support role
  • Ability to handle confidential matters with discretion 
  • Strong organizational skills 
  • Meticulous attention to detail
  • Ability to manage multiple projects simultaneously and independently
  • Ability to learn new technology
  • Proficient with Microsoft Word, PowerPoint, Excel, and Google Drive, and Calendly

Specific responsibilities include (but are not limited to)
Head of School’s Office

  • Promote the school’s mission, making it the center of all decisions and actions.
  • Acts as the Head of School’s liaison to the Board of Trustees and Administrative Team.
  • Serves as steward of highly confidential information and acts as a trustworthy liaison between the Head of School and internal and external stakeholders on key matters.
  • Represents the Head of School’s Office, as appropriate, on certain committees and Task Forces.
  • Reviews important correspondence (letters, emails, etc.) and drafts responses for the Head of School as appropriate, or forwards to the appropriate person for response and/or reply.
  • Facilitates the ability of the Head of School to manage executive functions by anticipating as well as assisting the Head of School to prioritize key initiatives, goals, objectives and schedule.

Oversees the management of the following functions for the Head of School’s Office

  • Calendar (in partnership with Calendar committee, prepare and manage the school calendar and other scheduled events; ensure that the events for which the Head of School’s office has responsibility are planned and stewarded appropriately)
  • Schedule (schedule, maintain, and confirm the Head of School’s appointments and calendar activities)
  • Phone (screens the Head of School’s phone calls and takes messages)
  • Budget (manage expenses for the Head of School’s budget as well as the annual professional development budget)
  • Clerical (provide general clerical duties and administrative support to the Head of School office)

Governance

  • Serves as liaison to the Board of Trustees on matters not directly handled by the Head of School.
  • Responsible for managing the distribution and archiving of all subcommittee and full board meeting notes.
  • Builds and coordinates with the Head of School and Board Chair the contents of agendas and materials for Board of Trustees meetings and Committee meetings. 

Other administrative support 

  • Data entry for other administrative departments
  • Provide general clerical duties and administrative support to the human resources department.
  • Periodic reception support to ensure continuity of care to students, faculty, staff, and parents.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Prolonged periods of standing, reaching, and bending.
  • Must be able to lift up to 30 pounds at times.
  • Ability to perform the essential functions of the position with or without reasonable accommodations.
